Capturing Documents with ERM

Electronic Report Management (ERM) electronically captures printed output from your accounting or other business system and stores the document in DocLink.  In the imaging industry, ERM can also be referred to as COLD or Computer Output to Laser Disc.

Individuals with access to the DocLink Administrator can configure ERM to automatically:

  1. Identify the type of document that has been captured
  2. Extract index properties from the document
  3. Filter unwanted characters or data from the document
  4. Associate a template with the document
  5. Save the document and its index properties in DocLink.

 

For example, on August 30, 2001, you invoice ABC Company for $400.00.  When you print the invoice, DocLink automatically captures that file; determines that it is an invoice; extracts the index property values from the invoice; and saves the invoice and its index properties in the DocLink database.  In this example, the document is indexed with the following information:

  1. Document Type – Invoice
  2. Invoice Number – 50555
  3. Date – 8/30/2001
  4. Customer – ABC Company
  5. Dollar Amount – $400.00

 

The benefits of ERM are numerous:

  1. There’s no need to print, scan and manually index the document.
  2. Storing the original file allows you to search on text strings located within the file.
  3. ERM files are first generation, providing a cleaner document for viewing.
