Workflow (Delegate Action Notifications)

Delegate Action event notify users of specific Workflow delegate actions as they occur.  doc-link monitors these actions and sends an email notification to the specified user.  This procedure can be completed by following the steps for ERM Process Failure – Notifications, with the exception noted in Step 3:

  1. Click on the Conditions tab. You can specify the conditions that can be used to determine the execution of the event.
    1. Check the box next to the condition to enable it.
    2. Then, click on the link to open the Delegate Action dialog window.
    3. Check the box next to each delegate action that will fall under the active messaging condition.
    4. Click OK to save and exit the Delegate Action dialog window and return to the notification configuration screen.
    5. Each selected delegate action will be listed in the rule description box.
      • To edit the rule description, click on the link to open the condition dialog box.
      • The Options... button allows you to clear all conditions at once or view the current conditions in XML format.
Additional Requirements for Delegate Actions

Notifications for the delegate actions Reminder, Delegation Ended, and Delegation Started require additional configuration to work properly.

Data Manager is required for the additional configuration. Refer to the Scheduled Tasks (Automation) section for the setup necessary for these three actions.

Example Scenario: Cheryl manages her AP Approver workflow status - Cheryl. She will be out of the office for a week and needs her co-worker Michael to manage her workflow while she is gone.

  1. Cheryl creates a delegation in her Smart Client application, using Workflow Delegate Manager.
  2. Michael receives an email alerting him of a delegation request, and accepts it. He will now be able to monitor Cheryl's workflow status during the time defined in the delegation.
    1. A reminder notification can be configured if he has not accepted or rejected the delegation.
    2. This reminder is configured as a scheduled task automation. Notifications for start and end times can also be configured to get sent to the delegate via automation.
  3. On the last day, Michael receives a notification that the delegation has completed and he will no longer have access to Cheryl's workflow status.
