Triggering the Auto-Index Process

Auto-Index can be triggered during manual processes such as indexing, collating and re-indexing a document. Auto-Index can also be triggered during automated processes that occur behind the scenes when using Workflow or Barcode.

Using a Trigger Property - Auto-Index profiles can be configured to initiate when a 'trigger' property is passed to it. This is the most common configuration. During one of the manual processes mentioned earlier or during the Barcode process, when a trigger property is encountered, Auto-Index will connect to the data source to retrieve additional index properties. The trigger property isn’t the only property used in the SQL statement to retrieve data, but the presence of the trigger property value initiates the Auto-Index process.

For example, you are manually indexing a vendor invoice. The Auto-Index profile associated with the vendor invoice document type has been configured with a trigger property = PO #. When you enter the PO #, Auto-Index connects to the data source and searches for index properties. Any values found are automatically populated on the manual index window. Each time a new value is entered for the trigger property, Auto-Index will attempt to retrieve additional property values.

Initiating Auto-Index Without a Trigger Property - Auto-Index profiles can also be configured to initiate without a trigger property. For instance, when a document is moved from one workflow status to another, Auto-Index can be configured to automatically search for additional index properties from the data source. In this scenario, a trigger property will not be present.
