External Document

External documents are dynamic files that are associated with the master document in some way. They allow for the use of file tokens which are used to generate dynamic file names at run time. A possible scenario may be an external system that generates CAD drawings that are dropped in a file location using a specific naming convention. doc-link can link to these files by using file tokens that are replaced with data from the current master document. Maybe a property value like a company code or an account code or a combination of these.

Location - Click on the ellipses button and browse to the location on the network where the external document is located. This should be a UNC path.

File Name or Template - Type in the filename of the document you want to add or use the drop down menu to build a file name template using a combination of static text and tokens to be used when generating the output file.

To add a token:

  1. Double-click a token to insert it at the current location, or
  2. Drag a token to the desired location in the template.

Document Type - Using the drop down list, select the appropriate system-configured document type to associate the external document with.

 

When you are done:

  1. Click Apply, then OK to save the configuration, or OK to save and return to the Supplemental Documents tab.
  2. Click Cancel to exit without saving the changes.
