Workflow (Document Created – Send to Workflow)

  1. From the Event Manager, click Document. Expand the Document Created node then click on the Send to Workflow option. The Document Created Send to Workflow configuration options will appear.
  2. Click Add to open the Send to Workflow Wizard window.
    1. For each of the drop-down lists, choose the values for which the newly created document will be assigned. The lists will display only those items for which the document type is assigned.
    2. Click Next.
    3. You can specify the conditions that can be used to filter indexed documents for routing. Select the appropriate boxes next to the conditions. Then in the associated configuration dialog, create the condition rules.

    4. Click Next to proceed to the next step.
    5. This step in the wizard allows you to name and activate the rule.
      • Enter a Name to uniquely identify the rule.
      • Type a Description for the new rule.
      • Check the Active box to turn the rule on.
    6. Click Finish to return to the main Event Manager window.
  3. A new rule will be added to the list of active rules and sorted by document type.

Manage Existing Send to Workflow Events

  1. To edit an existing event, highlight the item in the list and click Properties.
  2. To remove an existing event, highlight the item in the list and click Remove.
  3. To create a new event based on an existing one, click the Copy Configuration button.
  4. Use the Move Up/Down buttons to re-organize the list of events.

**IMPORTANT** The order of active rules matters greatly and can be a serious determinant of performance on your system if not well placed.

As a general rule, move high volume events to the top of the list and keep low volume events lower in theist.

Example – If the number of documents moved into the AP Processing workflow exceeds documents moved into the HR Workflow, it is best practice to promote the AP Processing rules to the top of the list and to demote low volume document rules to the bottom.
