Deleting Documents

doc-link has the ability to delete a group of documents at one time based on search criteria. From the search results window you have an option to mark for deletion any or all documents listed in the results grid.

The ability to perform a mass or bulk deletion of documents is limited to those individuals who are granted the Mass Deletion permission. The Mark for Deletion option will not be available to users denied this permission.

The process of mass deletion requires you to first download selected document to a location on your network before the delete option is enabled.

  1. From search results, select documents to mark for deletion
  2. Highlight document(s) within the results grid. To select multiple documents, hold down the Shift or Ctrl keys on your keyboard as you select documents.
  3. Click the Mark for Deletion button from the toolbar.
  4. Selected documents will be loaded into the Download Manager for processing.

Configure download options:

  1. In Download Manager, go to the Tools menu and select Options. The Download Options dialog opens.
  2. Select the radio button next to the download options you wish to use:
    1. Download Images and XML data - Transfers TIFF images and XML data for all selected documents to the location specified. For each document two files will be downloaded, one will be the image file (TIFF) and the other will be the data file ( XML). Both files reference the document type and document ID in the file names.
    2. Download Images only - Transfers TIFF images of all selected documents to the location specified. Each TIFF file references the document type and document ID in the file name.
    3. Download XML only - Transfers document information in the form of an XML data file. Each XML file references the document type and document ID in the file name.
  3. If you wish Download Manager to remember the location where previous files were saved, check the Default to last save to location option.
  4. If you wish to download search engine software along with the image file, check the Include search engine software box. This will copy a simplified Advanced Inquiry, Viewer and Search Results window to the download location, along with selected TIFF and XML files, so you can search off-line content.
  5. Click OK to save your settings and exit.
  6. Click the Save To... button in the toolbar. The Browse For Folder dialog opens.
  7. Browse to a location on your Network to save your files to.
  8. Click OK to save and exit.
  9. The path to your selected folder will appear in the Download Manager’s status bar.
  10. Click the Start button to begin the download process.
  11. When download is completed successfully, the Delete tab will be enabled.
  12. Click the Delete tab, notice how the status displays Pending Deletion.
  13. Click Start to permanently remove selected documents from doc-link.
