Saving vs Burning Distribution Stamps

The Save button on the distribution stamp smart form allows you to save the information in the distribution stamp but in an editable state. Distributions can be changed when needed. When the information is finalized, the user will click the Stamp button in the stamp toolbar to 'burn' it. The ability to save stamps is controlled through smart form role permissions.

In DocLink, burning stamps means the information contained in a distribution or standard stamp become part of the document, just as a "PAID" rubber stamp becomes a permanent part of a paper document. It cannot be erased or hidden from view. Burning a distribution stamp means that the information contained in the stamp window, like account codes and amounts, are rendered to a new page that is attached to the end of the original document. Because access to the distribution stamp is controlled via roles not everyone can see saved stamp data, but everyone with access to the document type can see stamped (burned) data.

To burn stamps:

  1. Create a distribution stamp
  2. Click the Stamp button to finalize the information in the stamp. The current stamp data displayed is saved and "burned" into the document. A new page gets added to the end of the document showing the distribution data. Once a stamp is burned, the existing data fields in the distribution stamp smart form can no longer be edited. The user needs to add a new stamp by clicking the Create New Stamp or Copy to New Stamp button to make changes.

By default, a document must be in workflow to save and/or stamp distribution data. A distribution stamp must be burned in order to import the stamp data.
