Annotating Documents in the Viewer

DocLink allows you to add a variety of annotations that aid in the processing of documents. If annotations have been added, they will be visible by default when a document is displayed in the document viewer.

You can hide annotations by clicking on the button in the toolbar. To display the annotations, click the button again. The exception to this rule is a rubber stamp annotation. This is permanent and cannot be deleted or hidden once it has been added to a document and the document is saved.

Annotation defaults can be configured by going to Tools > Options from the viewer's menubar and clicking the corresponding annotation tab.

Annotations

TextText

To add a text annotation to a document while displayed in the DocLink Document Viewer:

  1. Click  from the toolbar.
  2. Create a text frame by holding down the left mouse button and dragging the pointer diagonally to the size you want.
  3. Click inside the text frame to type the text.
  4. While the text frame is selected, right-click and select Properties from the menu to define the text’s font and color attributes.

To modify a text annotation while displayed in the DocLink Document Viewer:

  1. Hold down the left mouse button and drag the pointer diagonally to select the text annotation.
  2. To change the font, color or text attributes, right-click to view the Attributes dialog. From the dialog you can change the text’s font, color and text attributes.
  3. To edit the text itself, move the mouse over the text until you see the  cursor.  Double-click to enter edit mode.  You can edit the text directly within the annotation.
  4. To move the text annotation, place the pointer on top of the selected text until the  cursor appears. Hold down the left mouse button and move the text annotation to the new position.


Sticky NoteSticky Note

To add a sticky note to a document while displayed in the DocLink Document Viewer:

  1. Click  from the toolbar.
  2. Create the sticky note by holding down the left mouse button and dragging the pointer diagonally to the size you want.
  3. Click inside the sticky note to type the text.
  4. While the sticky note is selected, right-click and select Properties from the menu to define the sticky note's font and color attributes.

To edit a sticky note while displayed in the DocLink Document Viewer:

  1. Hold down the left mouse button and drag the pointer diagonally to select the sticky note.
  2. To change the font, color or text attributes, right-click to view the Attributes dialog. From the dialog you can change the text's font, color and text attributes.
  3. To edit the text itself, move the mouse over the text until you see the cursor.  Double-click to enter edit mode.  You can edit the text directly within the annotation.
  4. To move the text annotation, place the pointer on top of the selected text until the  cursor appears. Hold down the left mouse button and move the text annotation to the new position.


LineLine

To add a line annotation to a document while displayed in the DocLink Document Viewer:

  1. Click  from the toolbar.
  2. Hold down the left mouse button and drag the pointer to draw the line.
  3. While the line is selected, right-click and select Properties from the menu to define the line's appearance. You can specify the default color and weight of line and whether or not the line will appear as a solid line or a highlight.

To modify a line annotation while displayed in the DocLink Document Viewer:

  1. Double-click the line annotation or hold down the left mouse button and drag the pointer diagonally to select the line annotation you want to modify.
  2. To modify the appearance of the line, right-click to view the Attributes dialog. From the dialog you can specify the default color and weight of line and whether or not the line will appear as a solid line or a highlight.
  3. To move the line, place the pointer on top of the selected line until the cursor appears. Hold down the left mouse button and move the line to the new position.
  4. To change the length or angle of the line, select one of the sizing handles that appear at the ends of the line. Drag the sizing handles to the correct position.


Freehand LineFreehand Line

To add a freehand line annotation to a document while displayed in the DocLink Document Viewer:

  1. Click  from the toolbar.
  2. Hold down the left mouse button and drag the pointer to draw the freehand line.
  3. While the freehand line is selected, right-click and select Properties from the menu to define the freehand line's appearance. You can specify the default color and weight of line and whether or not the line will appear as a solid line or a highlight.

To modify a freehand line annotation while displayed in the DocLink Document Viewer:

  1. Double-click the freehand line annotation or hold down the left mouse button and drag the pointer diagonally to select the line annotation you want to modify.
  2. To modify the appearance of the line, right-click to view the Attributes dialog. From the dialog you can specify the default color and weight of freehand line and whether or not it will appear as a solid line or a highlight.
  3. To move the freehand line, place the pointer on top of the selected line until the cursor appears. Hold down the left mouse button and move the line to the new position.
  4. To change the freehand line, select one of the sizing handles that appear at the ends of the line. Drag the sizing handles to the correct position.


HighlightHighlight

To add a highlight to a document while displayed in the DocLink Document Viewer:

  1. Click  from the toolbar.
  2. Hold down the left mouse button and drag the pointer to draw the line.
  3. While the highlighted area is selected, right-click and select Properties from the menu to define the color of the highlight.

To edit a highlight while displayed in the DocLink Document Viewer:

  1. Double-click the highlight or hold down the left mouse button and drag the pointer diagonally to select the highlight you want to modify.
  2. To modify the color of the highlight, right-click to view the Attributes dialog. From the dialog you can change the color attribute.
  3. To move the highlight, place the pointer on top of the selected highlight until the cursor appears. Hold down the left mouse button and move the highlight to the new position.
  4. To change the length or width of the highlight, select one of the sizing handles that appear at the corners and on each side of the highlight. Drag the sizing handles to the correct position.


RedactionRedaction

To add a redaction to a document while displayed in the DocLink Document Viewer:

  1. Click  from the toolbar.
  2. Create the redaction by holding down the left mouse button and dragging the pointer diagonally to the size you want.
  3. With the area selected, right-click and select Properties from the menu to define the color.

To edit a redaction while displayed in the DocLink Document Viewer:

  1. Double-click the redaction or hold down the left mouse button and drag the pointer diagonally to select.
  2. To modify the color, right-click to view the Attributes dialog. From the dialog you can change the color attribute.
  3. To move the redaction, place the pointer on top of it until the cursor appears. Hold down the left mouse button and move it to the new position.
  4. To change the size, select one of the sizing handles that appear at the corners and on each side. Drag the sizing handles to the correct position.


Rubber StampRubber Stamp

Stamp annotations in the DocLink Document Viewer add permanent annotations to documents. Rubber Stamps are used exactly like you would use a 'Received' or 'Paid' date stamp or any other kind of generic stamp on a business document. Access to standard stamps is controlled through the Stamp permission

The button will be grayed out and unavailable if you do not have the authorization to use stamps.

Unlike other annotations, stamps cannot be deleted or hidden once they have been 'burned' onto documents.


 

If you print, fax or email the document while annotations are hidden, the annotations will not be visible. Another way to output documents without annotations is to do so directly from the Search Results window, annotations are never included on documents sent from search results.
