Capture Documents via ERM

Once a document type is configured for ERM, it is a simple process to electronically capture a document and store it in DocLink.

  • If you are printing a document from a Windows application, you can print the document to the designated ERM printer by selecting this printer from the printers list.
  • If you are capturing a document from a mainframe application that will not allow you to print to a Windows print spool, you can output the document as a text file.

  1. Open the document using the originating application (for example, an accounting package or word processing application).
  2. Open the print dialog.
  3. Select your ERM Printer.
  4. Print the document.
  5. The document is sent to the ERM input source that was specified during the installation of the printer driver. ERM will process the file and, based on the ERM configuration, determine the document type, locate the property values, determine the top-level folder, index the document and store it in DocLink.
  6. If the document type has been configured for Output Manager, the document will be automatically routed to the appropriate recipients.

  1. Select the document using the originating application.
  2. Print or output the file to the ERM input source.
  3. The document is sent to the specified ERM input source as a text file. ERM will process the file and, based on the ERM configuration, determine the document type, locate the property values, determine the top-level folder, index the document and store it in DocLink.
  4. If the document type has been configured for Output Manager, the document will be automatically routed to the appropriate recipients.

Reprocess ERM Errors

When ERM is unable to process a file, file information is displayed in ERM Input Source Processing in the DocLink Service Monitor. Using the Error File Status filter, you can view information about the file and reprocess the file through ERM again.

To view information about the file, select the record. The Properties section will be displayed to show more information.

The General tab contains information about the file and when it was created.

The Documents tab lists all documents contained in the file. If a file is rejected by ERM, there will be no documents associated with the file and this tab will be blank.

The Reject Info tab contains information about why the file was rejected.

View the Image File

  1. From DocLink Service Monitor, select the rejected file from Errors. Right-click and select View Source File.
    1. If the file originated as an XPS file, it will launch directly in the DocLink XPS Viewer.
    2. If the file originated as an EMF spool file, it will launch directly in the DocLink EMF Viewer.
    3. If the file originated as a PCL file, it will launch directly in the ERM Configuration Viewer.

Reprocess the File

  1. Open the file to view the contents and determine the document type.
  2. If necessary, edit the ERM configuration for the document type. Remember to use the rejected file when checking the content identifier(s) and the mapping of the properties.
  3. From DocLink Service Monitor, select the rejected file from Errors. Right-click and select Reprocess File. The file will be moved to the Pending list and ERM will attempt to process it.
