Configure a Scheduled Retro-Index

  1. Once enabled, click the Scheduled Properties… button. The Scheduled Retro-Index Properties window is displayed.

    Scheduled Retro-Index is linked to document type properties that are flagged as ‘Expected.’ Retro-Index cannot initiate unless you specify the appropriate properties as Expected on the Document Type Properties window.

    From the Properties tab, click the Edit… button to display the Document Type Properties window. Retro-Index is linked to documents indexed into DocLink that have a status of 'Incomplete', which occurs when DocLink processes a document with missing expected properties.

    Documents remain in the Retro-Index queue until the status is changed to 'Complete' (when all expected properties have been indexed).

  2. Specify when Retro-Index should attempt to retroactively index this document type. Select either a specific time of day, or a specific interval.
    1. To attempt Retro-Index for this document type every day, select Daily at. Use the up and down arrows to specify the exact time of day.
    2. To attempt Retro-Index for this document type at a specific interval, select Every. Use the up and down arrows in the first box to specify the number of intervals. In the second box, select the interval (either hours or minutes).

    The maximum number of times DocLink will attempt to index a document in the Retro-Index Queue is 10,000.

    If 10,000 attempts are made before the scheduled time has elapsed, the document will be marked as expired and removed from the queue.

  3. Specify the number of days you want to wait before attempting to Retro-Index the document type in the Defer processing for ___ days box.

    For example, if there is usually a 15-day period before checks are cut, you may want to defer for 15 days before trying to Retro-Index the invoices the checks are paying.

  4. Specify how many days you want to try to process this document type in the Remove from queue after ___ days box.

    If a document is not indexed in the specified number of days it is marked as 'expired' and removed from the Retro-Index queue.

  5. You can perform a one-time database update placing all documents configured for scheduled Retro-Index that are missing 'expected' properties into the Retro-Index queue for processing.
    1. Select the check box to start the scan at the next scheduled interval.
    2. Click Scan Now to start the scan immediately.

    In order to update the Retro-Index queue, the SQL Server Agent must be running. If you did not configure it to start automatically during the installation process, you can start it manually before you attempt to update the queue.

    From the machine where SQL Server is installed, go to Start and type services.msc.  Locate the SQL Server Agent (MSSQLSERVER).

    If the service isn’t already running, right-click and select Start.

  6. Click OK to save your changes and return to the Retro-Index tab.
